Archive a house

Archive a house when you want it out of your day-to-day working list but you might need it again later - for example, a house whose SIL or SDA arrangement has ended, or one you’re pausing between participants. Archiving keeps everything about the house: its cost setup, its participants, and every saved calculation.

It’s also the main reason providers archive a house at all: an archived house does not count towards your plan’s house limit. If you’re at your limit and need room for a new house, archiving an old one frees up a slot without losing any of its history.

This is different from removing a house. Removing hides a house from your dashboard for good - the data is kept for audit, but you won’t see it in the app again. Archiving is the reversible option, so use it whenever there’s any chance you’ll want the house back.

Open the house from the Houses list, then click Edit house. Scroll down to the Archive house section near the bottom of the edit page and click Archive. Confirm the prompt, and you’re returned to the Houses list, where the house now appears under Archived houses.

An archived house becomes read-only. You can no longer:

  • change any of its details (name, address, bedrooms, rent, and so on)
  • change its cost inclusions
  • switch it to a different cost-centre set
  • add, edit, or remove its participants
  • change its custom splits for shared bills

These blocks are enforced by the system itself, not just hidden buttons, so there’s no way to accidentally change an archived house’s setup.

Two things stay exactly as they were:

  • Every saved calculation for the house, and the PDFs generated from them, are untouched. Archiving never removes a scenario - you’ll still find them under Calculation history on the house’s own page, and listed on the Scenarios page.
  • The house’s record itself. You can still open it and read its details; you just can’t change them.

Because an archived house drops out of the count your plan checks against, it also disappears from your active house total on the Houses list. See billing and plans for how that count and your plan’s limit work.

To bring a house back, go to the Houses list and find it under Archived houses. Click Unarchive.

Because unarchiving adds the house back to your active count, it has to pass the same check as adding a brand new house. If your organisation is already at its plan’s house limit, unarchiving is blocked until you archive something else or upgrade your plan.

After archiving, you’re back on the Houses list with the house listed under Archived houses, no longer in your main list or your active house count. After unarchiving, the reverse happens: the house returns to your main list, becomes editable again, and counts against your plan once more.
