Three kinds of PDF
Section titled “Three kinds of PDF”Every saved scenario can produce three different documents.
The house schedule is one PDF covering the whole house. It lists every participant’s rent and cost-centre charges side by side, per fortnight. It also compares each participant’s charges against their own Centrelink benchmark caps, with a headroom figure showing how much room is left under their cap (or how far over, if there is none), lists the cost centres the house pays for and what each participant is charged for them, and shows the provider’s own contribution to the costs, if any is recorded for that calculation. Use it for your own records and to check the numbers.
The participant schedule is a separate PDF for each participant. It shows only that person’s own charges, per fortnight. It carries no Centrelink figures or caps of any kind - that comparison only appears on the house schedule.
The participant detailed schedule shows the same fortnightly charges as the participant schedule, but breaks each category down into its individual cost centres, with each one’s own fortnightly dollar figure, underneath the category’s subtotal.
None of the three documents has a signature line or an “Approved by” line for sign-off. The house schedule does show a “Prepared by” line, but that is only a record of who saved the scenario, not a place to sign. Signing happens on your service agreement with the participant, not on these schedules.
Your organisation’s letterhead
Section titled “Your organisation’s letterhead”Every one of these documents also prints your organisation’s letterhead: your Organisation name, plus your ABN (optional) and Logo (optional) if you’ve added them. See set up organisation branding for where to add or change them.
A saved scenario’s PDFs keep the letterhead they were created with - there is no button that refreshes them in place. To reissue a schedule under your current branding, open the scenario and use Clone as draft, then save it. See clone a scenario for what happens when you do that.
PDFs are produced when you save
Section titled “PDFs are produced when you save”You do not need to press a button to start a PDF. Building the house schedule and both of a participant’s schedules is part of how you save a scenario, so by the time the scenario page opens after an ordinary save, all of them are normally already finished and the download buttons are sitting there ready.
Scenarios saved before this feature was added do not show a detailed entry in the dropdown, and there is no way to add one after the fact for an otherwise-successful scenario. If a scenario’s PDFs ever need rebuilding for another reason and you select Retry render, SILWise regenerates everything from scratch, including the detailed schedules, so a rebuilt older scenario picks up a detailed entry too.
Download a PDF
Section titled “Download a PDF”Open the scenario. Once the PDFs are ready:
- Select Download house PDF to get the whole-house document.
- Select Participant PDFs to open a list of participants, then select the name of the one you want for their schedule.
- If a detailed schedule exists for that participant, a second entry sits underneath their name, labelled [participant’s name] - detailed. Select it for the line-by-line version.
Each one opens in a new browser tab, ready to save or print.
If generation is still running
Section titled “If generation is still running”Occasionally, most often for a few seconds after you select Retry render on a failed PDF, the download buttons are replaced with Generating PDFs… and a small spinner while SILWise finishes the job. This is not something you will normally sit and watch on an everyday save. While you see it, there is nothing to do: the page checks automatically in the background and swaps in the download buttons the moment they are ready, so there is no need to refresh.
If it seems to be taking too long, select Stuck? Generate now underneath the spinner to force SILWise to try again straight away.
If a PDF fails
Section titled “If a PDF fails”Occasionally a PDF fails to build. When that happens, a Retry render button appears in place of the download buttons. Select it to try again. SILWise rebuilds the house schedule and every participant’s schedules - both the summary and the detailed one - from scratch. If it fails again, a short message explaining what went wrong appears under the button.
What you’ll see when it works
Section titled “What you’ll see when it works”Once generation succeeds, Download house PDF and Participant PDFs appear where the spinner was. Selecting either one opens a finished PDF in a new tab. From here, go back to your scenarios to compare a different calculation, or save a new scenario once you have made changes.
